Members & Permissions

This document explains how to manage space members and permissions in Antpocket.

A space is a team or company unit within the inventory management area. Every space has one owner, and members who've been granted permission by the owner work with the data together.

1. Two ways to become a member of a space​

There are two ways to add a new member to a space.

  1. Request to join (using a space code): the user who wants to join enters the space code to send a request to the owner, and becomes a member once the owner accepts.
  2. Invitation (using email): the owner sends an invitation by email, and the recipient becomes a member once they accept.

Either way, the relationship is only established once the owner accepts or the user accepts, depending on the direction.


2. Requesting to become a member from the space owner​

Use this method when you want to join an already-running space.

Prerequisite: getting the space code​

The space code is a 6-digit identifier, available here:

  • Menu path: Master Data > Space > Space code field
  • Ask the space owner or an existing member for the code.

Sending a request to join​

  1. After logging in, go to the space selection screen.
  2. Click the Request to Join a Space card in the card list.
  3. Enter the received space code (6 digits) in the dialog and click Confirm.
  4. If you see the message "Requested. You can become a member once the space owner confirms it.", the request was received successfully.

Checking the status after requesting​

A card for the request you sent is shown on the space selection screen, and behaves differently depending on its status.

As the owner: handling received requests​

The space owner can check incoming requests to join in the Received Invitations area of the Master Data > Members & Permissions page.

  • Clicking Accept immediately adds that user as a space member.
  • Clicking Decline changes the request status to declined.

Note: the received-requests area is only shown to the space owner.


3. The space owner inviting someone to the space​

This is the method where the owner picks out a specific user to invite first.

Sending an invitation​

  1. Menu path: Master Data > Members & Permissions
  2. Click the Invite button in the Sent Invitations area of the page. (only shown to the owner)
  3. Enter the registered email of the user to invite in the dialog.
    • This must be an email address already registered with Antpocket.
  4. Click Send to send the invitation — you'll see the message "Invited to the space."

Checking the status after inviting​

You can check the status of sent invitations in the Sent Invitations table.

As the invited user​

The invited user can check and accept/decline the invitation in either of these places:

Accepting immediately makes them a member of that space.


4. Managing members​

Page path: Master Data > Members & Permissions

Member list​

The Members table at the top of the page shows the nicknames and emails of everyone currently in the space.

The action buttons on each member row depend on the logged-in user's permissions.

  • Non-owners: only the View Permissions button is shown (can only view other members' permissions)
  • Owner: the Set Permissions and Remove buttons are shown

Removing a member (owner only)​

  1. Click the Remove button on the row of the member to remove.
  2. Click Yes in the confirmation dialog to immediately remove them from the space.
  3. The space owner can't remove themselves (the button is disabled).

Leaving a space (as a member)​

Members who aren't the owner can leave the space on their own.

  • Menu path: the Leave Space button at the bottom of the Master Data > Space page
  • Leaving deletes all of your permissions related to that space.

Checking your own permissions​

The My Permissions area in the middle of the Members & Permissions page shows your current permissions as chips.


5. Permission types and descriptions​

Permissions are granted per member, and the owner can toggle them via checkboxes in the Master Data > Members & Permissions > [member row] > Set Permissions dialog.

The permissions you allow on an AI connection follow this same model, and you can only allow what you hold yourself. (See Permissions and Managing Connections)

Permission rules
  • Only the space owner can change permissions.
  • If another member opens the permission dialog, it's shown as view-only.
  • The space owner's permissions are all always granted and locked — they can't be modified.

5.1 Ownership​

  • The permission to create actions directly (inbound/outbound/transfer/adjustment) is separate from the permission to approve them (action approval), so authoring and approving can be assigned to different members.

5.4 Assets​

Appendix: FAQ​

Q. Where do I find the space code?

You can find the 6-digit code in the Space code field on the Master Data > Space page. Ask the owner or an existing member for it.

Q. Can I invite an email that isn't registered yet?

The email must already be registered with Antpocket to receive an invitation. Please have them sign up first, then send the invitation.

Q. Can the owner be removed too?

The owner can't be a target of removal. If ownership needs to be transferred, that requires a separate process.

Q. Do permission changes take effect immediately?

Yes — once you click Edit after making changes in the permission dialog, they take effect immediately.
