Permissions and Managing Connections

This page explains how to decide what to allow the AI, and how to disconnect.

Permissions you can allow

The approval screen lets you choose from the eight permissions below.
Allowing a permission means "let the AI do this on my behalf".

Permission	What the AI can do with it
View data	Look up stock levels, products, warehouses, trading partners, action history and inventory slips.
Manage data	Register and edit products. (Register warehouses and trading partners on the web.)
Action: Inbound	Submit inbound requests as an inventory slip.
Action: Outbound	Submit outbound requests as an inventory slip.
Action: Transfer	Submit transfers between warehouses as an inventory slip.
Action: Adjustment	Submit adjustments that correct quantities after a stock count.
Action approval	Approve or reject submitted inventory slips. Approving changes stock immediately.
View asset data	Look up unit prices and slip totals. Without it, no monetary figures are returned.

Some permissions cannot be allowed

Space owner and Invite members cannot be granted to a connection and don't appear in the list.
There is no reason for an AI to invite people or handle billing.

Choosing permissions

Once you pick a space on the approval screen, every permission you can grant is switched on. Narrowing it down is up to you.
Here are combinations we recommend by purpose.

Reporting and lookups only
Turn on View data alone. Add View asset data if you want to ask about money.
The AI cannot change anything, so this is the safest option and a good place to start.

Handing over inbound and outbound work
View data plus the action types you need (Action: Inbound, Action: Outbound and so on).
The AI submits inventory slips but a person approves before stock changes. This is the most common combination in practice.

Handing over approval too
Add Action approval on top. This is the strongest option — read the next section first.

You can only allow what you hold

Permissions you don't have in the space cannot be allowed on a connection either.
A member without outbound permission, for example, cannot hand outbound work to an AI.

Before granting Action approval

Stock changes immediately

With Action approval, the AI can approve inventory slips. Approved actions are processed at once and the real quantity in the warehouse changes.
Without it, the AI only submits slips, and stock never changes until a person has reviewed them.

The only way to undo an approval is Action history > Go back in time on the web. You cannot ask the AI to undo it.
That feature also rolls back every action after a given point, so you cannot cancel just one mistaken approval.

If you do hand over approval, we suggest:

• Ask the AI to show you the slip contents and check them yourself before approving.
• For large jobs, use a connection without approval permission to submit only, and approve on the web.

Disconnecting

There is no connection list in Antpocket yet

Antpocket does not currently offer a screen for reviewing or removing connections. It is in progress.
To disconnect, delete the connector on the AI service side.

• claude.ai — delete the Antpocket connector under Customize > Connectors.
• ChatGPT — delete the Antpocket entry from the Plugins list.
• Connected with an API key — follow the removal steps in Connecting with an API Key.

A connection stays valid until it is deleted. Please remove it yourself in these cases:

• You leave that space or move to another team.
• You stop using that AI service.
• You allowed more permissions than you meant to — delete it, then reconnect with fewer.

Frequently asked questions

Do I need a paid plan?
Antpocket connects on the free (Basic) plan. Your plan's data limits (100 products, 100 actions and so on) still apply.
Requirements on the AI service side differ: ChatGPT needs a paid account, while claude.ai allows one connection even on Free.

I have several spaces.
One connection covers one space. Create a separate connection per space.
A connection's space cannot be changed later — delete it and connect again.

Does every member need their own connection?
Yes. A connection belongs to an individual account. Each member connects for themselves, and it works only within the permissions that member holds.

Could the AI change stock by mistake?
Not unless you allowed Action approval. Otherwise the AI only submits inventory slips and a person has to approve them.

I asked for statistics and it said it couldn't.
There is no statistics lookup yet. Use the statistics screens on the web.

Only some low stock alerts show up.
Low stock alerts are per-member settings. Only the alerts of the person who created the connection are returned.

Unit prices aren't showing.
The View asset data permission wasn't allowed. Delete the connection and reconnect with that permission included.
