Bulk Work with Excel

This page explains how to hand an Excel or CSV file to the AI to register many products at once, or to turn a list of movements into an inventory slip.

How it works

The file is not uploaded to Antpocket.
The AI reads the attached file and passes its contents on to Antpocket.

That is where both the benefits and the cautions come from.

• No fixed template is needed. Column order and column names can differ; the AI works it out.
• Extra columns and header rows in the file are filtered out by the AI.
• On the other hand, if the AI misreads something, wrong data goes in. Always check the result, especially quantities and unit prices.

Try a few rows first

If the file is large, ask for "just the first 5 rows" first, check the result, and then hand over the whole file.

Registering many products at once

Attach the file and ask:

Register the products in this Excel file in Antpocket.

Up to 200 products are registered per request. Split larger files into several requests.

If the file contains the fields below, they are applied. A product name alone is enough to register.

Field	Description
Product name	Required.
Product code	The identifier you assign. If it duplicates an existing one, only that row fails.
Unit price	The basis for asset, purchase and sales figures.
Barcode	One per product.
Category	Must already exist in Antpocket.
Additional properties	Items defined on the category, such as size or color.

Only resend the rows that failed

Bulk product registration registers the rows that succeed.
Rows with a problem come back with a reason, so fix just those and ask again. Resending rows that already succeeded creates duplicates.

Initial stock cannot be included when registering products. Register first, then add quantity like this:

Take the products you just registered into Mandeok warehouse with these quantities.

Turning a movement list into an inventory slip

A file listing many inbound or outbound movements can also be handled in one go.

Create an inventory slip from this outbound list.

Up to 200 actions go into one slip. You can mix inbound, outbound, transfer and adjustment in the same slip.
You can also append to a slip you already created.

Add this list to slip 15 as well.

For actions, one bad row means nothing is registered

This is the opposite of product registration. Actions are either all registered or none are.
The order of actions is the stock history itself, so if one is missing in the middle, the remaining rows no longer mean what they should.
You'll be told which rows failed and why, so fix the file and ask again.

Warnings about rows that would go negative

If an outbound quantity is larger than the current stock, you get a warning.
Antpocket allows stock to go negative, so the slip is still submitted even with warnings.

A warning looks like this:

Desk01 @ Mandeok warehouse: currently 3, would become -2 after release

If you see one, check before approving. It is usually one of these:

• An inbound has not been registered yet — handle the inbound first.
• The wrong warehouse was specified — remove that row and add it again.
• Stock really is short — correct the quantity.

Approving the submitted slip

When the AI submits a slip, its reply includes an approval link. Follow it, review the slip on the web and approve.
The moment you approve, every action in the slip is processed and stock changes.

If the link doesn't open properly

You need to have the slip's space selected in Antpocket on the web.
If you are looking at a different space when you follow the link, the slip won't open. Switch spaces and try the link again.

Things to try saying

Requests that come up often in practice:

• "Show me products with fewer than 10 left at Mandeok warehouse, as a table."
• "Which 10 products moved out of Gupo warehouse most last month?"
• (with a file) "Register the products in this file under the Clothing category."
• (with a file) "Create an outbound slip for Mandeok warehouse from this order list, named Week 1 March outbound."
• "Create a slip transferring 20 units of Desk01 from Mandeok to Gupo."
• "Show me the slip you just made, and remove the Chair02 row."
• "List the slips that are pending review."

Statistics cannot be queried yet

Purchases, sales and monthly trends cannot be retrieved by the AI. Use the statistics screens on the web.
Action history can be retrieved, however, so you can have the AI pull the records and do the arithmetic itself.
