Setting Up Warehouses and Products

This document explains how to set up the data (products, product categories, warehouses, trading partners) that forms the foundation of inventory management in an Antpocket space. Everything here is handled in the Master Data area of the left menu (/space/schema).

1. Why data needs to be set up first​

Inventory management is the activity of recording "which product, in which warehouse, is exchanged with which trading partner." So before you can perform actions like inbound/outbound, the data those actions apply to needs to be defined first.

  • Without a product (item) registered, there's nothing to bring in or send out.
  • Without a warehouse (place) registered, there's no location for inventory to accumulate.
  • Without a trading partner (trader) registered, you can't select who the inbound/outbound is with.
  • Product categories (category) and their properties (property) need to be defined so you can consistently manage extra product info (size, color, etc.).

If you've just created a new space, we recommend setting things up in this order:

  1. Register warehouses → create the spaces where inventory will accumulate first.
  2. Register trading partners → create the counterparties you'll select during inbound/outbound.
  3. Define product categories and properties → classify products and design their additional properties.
  4. Register products → once categories and warehouses are ready, register your products.
Permissions

Adding, editing, or deleting data requires the Manage data (schema.writable) permission. The space owner has this permission by default, and can delegate it to other members on the Members & Permissions page.

2. Managing warehouses​

Page path: Master Data > Warehouses

A warehouse (place) is a location where inventory is actually stored. Besides physical warehouses, logical zones such as "head office storage", "showroom", or "loaded on vehicle" can also be represented as warehouses depending on your situation.

Creating a warehouse​

  1. Click the Create Warehouse button in the bottom right of the page.
  2. Enter a warehouse name in the dialog. (required)
  3. Click Confirm to register it.

Editing / deleting a warehouse​

Click the pencil icon in the top right of each warehouse card to open the menu.

  • Edit: Change the warehouse name and order. Order is an integer — smaller values appear earlier in the list.
  • Delete: Deletion can't be undone, so proceed carefully.

Download​

Click the Download button to export the registered warehouse list as an Excel (CSV) file.

3. Managing trading partners​

Page path: Master Data > Trading Partners

A trading partner (trader) is the counterparty recorded alongside inbound and outbound actions. Besides regular trading companies, sales channels like "Coupang" or "Smart Store", or even region names, can also be registered as trading partners.

Registering a trading partner​

  1. Click the Register Trading Partner button on the page.
  2. Enter a trading partner name in the dialog. (required)
  3. Click Submit to register it.

Editing / deleting a trading partner​

Open the menu via the pencil icon in the top right of each trading partner card.

  • Edit: Change the trading partner name and order.
  • Delete: Deletion can't be undone.

Download​

Use the Download button to export the registered trading partner list as an Excel file.

4. Managing product categories​

Page path: Master Data > Product Categories

A product category (category) is a group used to classify products. For example, a footwear manufacturer might create categories like Sneakers or Insoles.

Using categories has the following benefits:

  • You can filter the product list by category.
  • You can define additional properties (property) per category to extend product information.

Registering a category​

  1. Click the Register Category button.
  2. Enter a category name in the dialog. (required)
  3. Click Confirm to register it.

Editing / deleting a category​

Open the menu via the pencil icon in the top right of each category card.

  • Edit: Change the category name and order.
  • Delete: Deleting a category also removes its property configuration.

Managing properties (property)​

Click the Manage Properties button on a category card to see the list of properties belonging to that category. Properties are shared additional information across the products in a category. (e.g. Size and Color for the "Sneakers" category)

Adding a property

  1. Click the Add Property button.
  2. Enter the following:
    • Property name: e.g. Size, Color
    • Property value type:
      • Integer: only integer values allowed. e.g. shoe size 230, 240, 250…
      • Text: free-form text, decimals, etc. e.g. color "Red", spec "200 x 300", price "2.73"
    • If a value isn't an integer, or might contain letters, choose Text.

Editing / deleting a property

  • When editing, you can change the property name and order. (However, the value type can't be changed after creation.)
  • Deletion takes effect immediately, and the property no longer appears on product data where it was entered.

5. Managing products​

Page path: Master Data > Products

A product (item) is the most central piece of data in inventory management. Instead of the commonly used term "item," Antpocket uses the term "Product."

5.1 Searching products​

Use the search form at the top of the page to search products by:

  • Category: select one of the registered categories, or search "All"
  • Keyword: partial match on product name or product code
  • Sort: order ascending/descending, or by newest/oldest registered
    • Your chosen sort order is saved in the browser and kept the next time you visit.

Search results are paginated, with the total result count shown at the top.

5.2 Registering a single product​

  1. Click the Register button.
  2. Enter the following in the dialog.

Basic properties

  • Product name (required, up to 255 characters)
  • Product code: a code that identifies the product. (up to 64 characters, with format restrictions) Product names can be duplicated, but product codes must be unique.
  • Unit price: enter as an integer (positive number). (only shown to users with asset-viewing permission)

Additional properties

  • Category: select one of the registered categories. Once selected, the properties configured for that category automatically appear in the form.
  • Enter each property value. Properties left blank aren't saved.

Initial quantity per warehouse (shown only when registering a new product)

  • Every registered warehouse is listed.
  • Enter the quantity stored in that warehouse at the time of registration. Leaving it blank is treated as 0.
  • If you don't know the exact quantity, leave it blank for now and set it later with an Adjustment action in Inventory Management.

Other

  1. Click Confirm to register the product.

5.3 Editing a product​

  • Selecting the edit action on a row in the product list opens the same dialog as above.
  • In edit mode, you can also change the order.
  • Saving with the barcode field cleared unlinks the previously connected barcode.

5.4 Bulk registration: Excel​

Page path: Master Data > Products > Bulk Registration

Use this to register a large number of products at once.

  1. Click the Bulk registration: Excel button on the product list page.
  2. Select a category for the products you're registering. (leaving it unselected is also fine)
  3. Once you're taken to the bulk registration page, get the template via the Download Excel template link.
    • The template includes product name (required), product code (optional), the property columns defined for the selected category, and an initial-quantity column per registered warehouse.
  4. Fill in the data and save the template, then drag & drop or click to upload the file in the upload area on the page. (xlsx format, up to 3MB)
  5. The uploaded data is shown on screen as a table. Review it, then proceed with registration.
Plan notice

Bulk registration is only available on the Business plan or higher. On the Basic plan, an upgrade dialog is shown instead.

5.5 Bulk registration: Coupang​

Page path: Master Data > Products > Import from Coupang

You can pull in product listings registered on Coupang (Coupang Wing) and bulk-register them as Antpocket products.

  1. Click the Bulk registration: Coupang button in the product list, or go to Import from Coupang from the menu.
  2. The list of Coupang accounts connected to Antpocket is shown.
  3. Click Bulk product import from Coupang on the Coupang account card you want to use.
  4. Click Confirm in the confirmation dialog to start the task. (takes up to 10 minutes)
  5. You can check progress in the Task History area at the bottom of the page.

How it works

  • Only Coupang listings with status APPROVED are included.
  • Each option of a Coupang listing becomes one Antpocket product, 1:1.
    • e.g. a Coupang listing with the two options "Red" and "Blue" is registered as 2 Antpocket products.
  • Products already registered via a previous Coupang import aren't duplicated — their information is updated instead. So it's safe to run bulk registration multiple times.

5.6 Deleting selected products​

  • Select multiple products with the checkboxes in the product list, then click Delete Selected to delete them all at once.
  • A confirmation dialog appears before deletion, and deletion happens immediately once confirmed.

5.7 Shortcut to category management​

Click the Manage: Product Categories button at the top of the product list to jump directly to the product category management page.
